涉外礼仪文书是涉外文书的一大类别。它主要是以电报和信函的方式，传递信息、互通情况及交流感情。它不仅在一定意义上反映了一个民族的文明、文化，甚至社会风尚，同时亦体现外交政策的一个重要方面。因而，涉外礼仪文书的制作与使用是对外交往活动的不可缺少的重要组成部分。
涉外礼仪文书一个显著的特点是简单明了，言简意赅，虽然有基本固定的行文方式，但并不一定很呆板，而行文要求切题、中肯、开门见山。顾名思义，涉外礼仪文书必须强调礼节两字，即要注意向对方问候、致意。
涉外礼仪文书所用称呼应按国际惯例写尊称，如阁下、先生、女士、太太和小姐等等，对有一定身份及地位的人，还需写上其职务、头衔的全称。总之，涉外礼仪文书要遵循维护和发展友谊的原则，遣词造句、语气口吻都应真挚恳切、热诚谦逊。
涉外礼仪文书种类繁多，在此仅列出最常用的祝贺函电、致谢函电、慰问函电、凭吊函电、邀请函电五大类，并附上中英对照的例文以供参考。鉴于名片已成为对外交往的一个重要媒介，以及其在涉外礼仪中的特殊作用，本章亦将其翻译、用途的习惯做法作一简要解释。
第一节 祝贺函电在外事工作中，我们常遇到所熟悉的外国友人适逢某一喜事或面临某一重大节日的情况，及时寄上一个情真意切的贺函，不仅可以传达友谊之情意和表现礼仪之风范，还可以给友人平添一种意外的、来自异国他乡的节日气氛。
祝贺函电可分为私人和正式两种，前者用词亲切、随便，带有个人感情的色彩；而后者措辞较正式和严谨，讲究一定的格式，并常常使用一些套语。
祝贺函电的写作必须掌握时效性，要充分考虑对方收到的时间与其所面临的喜庆日子相一致，最好在节日前的一周内，不宜太早，更不可以事后补上。函电的中心内容以叙述为对方的喜事而深感高兴的心情为主，所以贺信的喜庆色彩是很浓烈的，须防止写得呆板，给人以不够热情的感觉，但同时也要防止说过头话，给人以虚伪的感觉。其内容只要包含有祝贺的原因并表示祝贺这两个基本要素即可。
祝贺函电除了其祝贺性和友好性外，还有其独特的简练性。祝贺函电的写作，一般篇幅都比较短小，文字亦相对简练，即用最短的篇幅，最少的文字，表达最诚挚的祝贺及最良好的祝愿。

第二节 谢函电
自古至今，受人恩惠和获人帮助之后送上一片感激之心，既是对对方劳动的尊重，又是礼尚往来的礼仪活动方式。感谢函电就是表达感激之情的常用的方式之一。
当我们得到一些人的祝贺、慰问、馈赠、款待、援助等恩惠以后，向对方寄发的表示谢意的函电就是感谢函电。有代表国家、政府、单位的感谢函电，也有代表个人的感谢函电。在目前对外交往日趋频繁，通讯手段越来越现代化的时代，懂得如何起草感谢函电是衡量—个人涉外交往能力如何的重要因素。
无论是通常所说的“公对公”还是“私对私”的感谢函电，两者均具有表达“谢意”这一共同点，只不过“公对公”的函电更显其庄重，措辞和格式更讲究、更严格而已。但万变不离其宗，起草这类函电时，中心内容便是一个谢字，并围绕它做文章。囿于感谢函电一般较简短，措辞就需精推细敲，尽可能做到“短”而不“空”，“谢”而不“冷”。
像祝贺函电一样，感谢函电另一特征就是其及时性。如代表团出访结束归来，应立即写好感谢函电发出。现在通讯手段发达，亦可先传真发出，原件后寄。总之，要“趁热打铁”，及时送上一片感谢之情。

第三节 慰问函电
慰问函电是礼仪函电的一种，是国家、政府机构和部门、团体及个人之间，由一方向另一方就其所遭受的灾难和不幸发出的带有安慰、问候和同情的电报及信函。
慰问函电通常分为政府和民间两种，前者是以国家主要领导人的名义或红十字会对遭难国的政府和人民的问候和慰问，期望他们能克服困难、战胜灾害和重建家园。如××××年x×××大地震，给××人民带来了巨大的灾难，我国领导人就发了慰问电。对灾情较轻或未建交的国家，一般只由红十字会发慰问函电。民间慰问函电适用于个人之间使用，其慰问范围亦比政府的广泛得多。诸如亲友生病、受伤、失盗、车祸等，均可寄出带有慰藉、问候、鼓励、关切的函电，以示关怀。
慰问函电的写作特点是及时、简洁，开门见山，语句朴素但感情真挚，字里行间应充满同情和安慰，忌流露出悲观失望之感，使对方感到沮丧、意志消沉。总之，慰问函电应尽量起到让对方减轻痛苦，鼓励对方振作精神、战胜逆境的作用。

第四节 吊唁函电
吊唁函电顾名思义则是发送给遭遇丧事者所属机构及亲属的慰问电报或信函。它是人们礼仪往来中的一种重要文件。发送吊唁函电者可以是代表国家、政党的首脑，也可以是一般老百姓，即通常所说的官方和民间两种。函电的主要内容是以沉痛的心情对逝世者的家属表示哀悼，追述死者生平业绩。如逝世者为重要人物或知名人士，还要对遭丧的国家和亲属表示哀悼，以表关切、安抚之心。
唁电一般较为简短，唁函则可写得稍详细些。

第五节 涉外名片
（一）什么是涉外名片
名片是人们在社交场合中用于自我介绍及传递信息的小卡片。涉外名片是在涉外活动中人们所使用的名片，它在人们的交往中起着微妙的作用。
名片的使用在我国有着很长的历史。古时候，人们常把自己的姓名、职位和地址写在长方形纸片上作为自我介绍和联系的手段，这就是中国最早的名片形式。随着社会的发展，纸片慢慢变成今天常用的白色小卡片。近十年来，中国的对外开放政策使各行各业对外联系日趋频繁，名片除了印上本国文字外，还需译成多种外国文字。尽管目前涉外名片式样繁多，在制作中，仍有其较为规范的几种格式。
（二）名片的种类及其制作要求
名片大体上可分为外事和业务两大类。前者较为简单庄重，后者内容较多，形式较为随意，这些名片甚至带花边、图案和香味。
名片的规格和纸质大体上差别不大，但女士用的名片较男士的略小。内容有姓名、职务、单位、地址、电话以及传真号码等。中文名片右上方为单位及职务，中央为姓名，左下方为地址，右下方为电话传真号码。而外国人往往突出姓名，名片中央为姓名，姓名下则用较小的文字印上单位及职务，地址、电话等则与中文相同，放在左右下方。
（三）名片的其他用途
名片除了自我介绍和便于联系的普通用途外，还可用于许多方面。
1．替代介绍信。在名片上写introducing Mr．…t0．Mr．…交给被介绍者，作为简单的介绍信。
2．用于祝贺。碰上朋友生日或节日，在名片上写上Many happy returns of the day或Mery Christmas等祝贺的话，附在礼物上寄出。
3．用于慰问。亲朋好友生病，若抽不出空亲自前往探望，可在名片上写to inpuire或with best wishes fOr your turning for thebetter等，附于鲜花或礼物上送上。遇上吊唁需要，也可写withdeep sympathy或with deep eondoleness等寄上。
4．用作借条。如在名片上写IOU＄300，再加上年月日即可当作简单的借据。IOU是英文IOwE YOU的简写，意为“欠条、借条”（例文略）。
